Hiya I spoke to one of your collegues today who said that my number would be kept with the new sim but I'm confused to why on the email it has stated a new number

Because if you are a new customer, then the sim will come with a temporary number, until your current number is ported over.

This is a customer to customer community, not O2.
You need to contact O2.
